About the position

Hettig Management is seeking to hire an experienced, organized, customer service focused Administrative Assistant to support operations at our corporate office in Houston, TX. The Administrative Assistant provides various administrative functions to sustain and improve efficiency and productivity. This position will oversee day-to-day operations, regularly assist with preparing and organizing reports. Responsible for facilities management, both interior and exterior, including maintenance and coordination of essential services, and compliance with safety standards. The Administrative Assistant will implement and maintain procedures and provide overall operational support.

Responsibilities

  • Maintain all office equipment including but not limited to copy machines, printers, and postage equipment and appliances. Coordinate and schedule repairs as needed.
  • Periodically review and monitor existing contracts for expiration, collect bids and in coordination with management, meet with vendors for future contracts.
  • Order and maintain office supplies and equipment, including toner for printers and copiers, and general building supplies.
  • Assist with monthly reporting for multifamily properties.
  • Assist with property budgets, budget narratives and distribution.
  • Track individual and corporate real estate license renewals.
  • Responsible for coordinating maintenance and repairs to the office building, both interior and exterior, including any cleaning or landscape services. Act as liaison with contractors and management.
  • Respond accordingly to on call 'emergencies' as needed.
  • Ensure compliance with all building related systems, including but not limited to inspections and permits of fire alarm system, fire extinguishers, elevator, etc.
  • Monitor the website email daily and direct accordingly.
  • Responsible for the safeguarding and distribution of office keys and access fobs.
  • Other duties as assigned.

Requirements

  • Associates degree or equivalent from a two-year college or technical school.
  • Six months to one-year minimum related experience and/or training; or equivalent combination of education and experience.
  • Successful completion of background check required.
  • Valid Driver's License and clean driving record required.
