About the position

The position involves managing occupancy processes, maintaining tenant files, and processing applications in compliance with established regulations. The role requires utilizing secure websites and software systems to review and process tenant selection and recertification documentation. Responsibilities include investigating income discrepancies, entering move-in/move-out data, generating occupancy reports, and providing support to Resident Managers. Additionally, the position entails ensuring proper record keeping and applicant processing, including obtaining credit and criminal reports and maintaining waiting lists for properties.

Responsibilities

  • Utilize secure websites and software systems to review and process tenant selection and recertification documentation.
  • Investigate and resolve income discrepancies.
  • Enter move-in/move-out data in appropriate systems.
  • Generate and submit required occupancy reports to regulatory authorities and maintain compliance records.
  • Distribute accurate rent rolls for each development and submit Housing Assistance Payment (HAP) vouchers.
  • Submit and track claims to HUD for unpaid rent, vacancy loss, and damages.
  • Provide Resident Managers with ongoing occupancy-related support on a day-to-day basis.
  • Ensure that all tenant file documentation is complete, signed, dated, and appropriately organized.
  • Follow up to secure any missing data.
  • File all tenant income certifications, declined applications, monthly reports, and general project and tenant information.
  • Recommend record keeping policies for on-site and the main office.
  • Retrieve and distribute income limits, utility allowances, and rent adjustments to each project.
  • Monitor occupancy to ensure that the required percentage of units is rented to low-income tenants in the correct percentages.
  • Organize and manage long-term storage.
  • Obtain credit and criminal reports for each adult applicant and evaluate based on parameters set forth in the Resident Selection Policy.
  • Ensure confidentiality of all records and seek approval from Regional Managers for each credit or criminal-based appeal.
  • Maintain Waiting Lists for each property, ensuring that data is appropriately entered, activity during the waiting period is recorded, and preferences are followed.
  • Provide updated waiting lists to each property on a regular basis.

Requirements

  • High school diploma or GED is required.
  • Knowledge of regulations, policies, and procedures governing Section 8 and Section 42 LIHTC programs preferred.
  • Ability to use Excel, Word, and occupancy-related software.
  • Ability to coordinate with fellow employees to schedule, organize, plan, prioritize, and complete work-related tasks with a high level of accuracy and efficiency.
  • Ability to work independently and research problems using tools provided.
  • Ability to communicate effectively, both orally and in writing.
  • Must be able to provide excellent customer service and telephone support.
