About the position

Four Seasons Resort Rancho Encantado Santa Fe is seeking a dynamic individual with great attention to detail and professionalism for the exciting role of Sales, Catering, and Marketing Coordinator. This role is responsible for providing administrative support primarily for the Travel Industry Sales Manager, Group Sales Manager, Director of Catering, Director of Public Relations, Director of Digital Marketing, and the Commercial Director while being familiar with all aspects of the sales, catering, and conference services planning process. The position requires a genuine caring and compassionate individual with a passion for hospitality, integrity, and accountability. You will assist in organizing Group and Travel Industry needs and act as a liaison with the resort's reservation team members. The role also involves maintaining Golden Sales and Catering accounts, preparing accurate written correspondence, and supporting the sales, catering, and marketing team.

Responsibilities

  • Provide administrative support to the Travel Industry Sales Manager, Group Sales Manager, Director of Catering, Director of Public Relations, Director of Digital Marketing, and Commercial Director.
  • Assist in organizing Group and Travel Industry needs and act as a liaison with the resort's reservation team.
  • Provide backup support to the Sales Managers and the entire sales, catering, and marketing team.
  • Maintain Golden Sales and Catering accounts, including traces, creating and updating bookings, and preparing Banquet Event Orders.
  • Coordinate purchase orders and process invoices for the Sales & Marketing/Catering Division.
  • Manage internal meetings and assist other departments with BEO's for internal meetings.
  • Complete distribution of Sales and Catering correspondence to the resort operating departments.
  • Assist in completing special projects, including mailings and competitive surveys.

Requirements

  • 2+ years of experience as a Sales/Catering Assistant.
  • Strong working knowledge of Delphi/Amadeus.
  • Proficient in Microsoft Excel and Microsoft Word.
  • Technical competence with SalesForce.com/Delphi.FDC (Golden Sales and Catering) and Meeting Broker.
  • Excellent organizational and time management skills.
  • Ability to prepare accurate written correspondence including letters, contracts, and reports.

  • Knowledge of production methods in graphic art and marketing collateral.
