About the position

The Administrative Coordinator at Vituity plays a crucial role in supporting the organization's mission to transform healthcare. This position involves a variety of administrative tasks aimed at enhancing workflow efficiency, managing communications, and assisting leadership with scheduling and travel arrangements. Responsibilities

  • Communicate messages, inquiries, and issues effectively and professionally, respecting confidentiality.
  • Complete a variety of administrative tasks including managing calendars, expense reports, and travel arrangements.
  • Prepare professional reports and presentations as directed.
  • Manage daily administrative duties to enhance efficient workflow.
  • Assist leadership with calendar support, including scheduling meetings and managing conflicts.
  • Make travel arrangements in accordance with company policy.
  • Prepare and edit correspondence and other documents.
  • Conduct research and analyze data to prepare reports and documents.
  • Coordinate and staff meetings/events/conference calls as instructed by leadership.
  • Review operating practices and implement improvements where necessary.
  • Utilize and enter data into department databases.
  • Maintain reporting, time and expenses, project status reports, and budget reports.

Requirements

  • High School Diploma or GED equivalent required.
  • Two years of administrative or office support experience required.
  • 3-4 years of increasingly complex administrative support and project coordination experience preferred.
  • Previous experience supporting a Marketing team is preferred if assigned to the Marketing department.
  • Strong customer service skills with client interactions both verbally and written.
  • Detail-oriented and organized with the ability to juggle multiple tasks and prioritize effectively.
  • General knowledge of administrative procedures and standard business office practices.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

  • Previous customer service experience preferred.
  • Ability to work independently with drive and initiative.
  • Strong analytical skills and creative conceptualization ability.
  • Demonstrated ability to handle detailed work accurately and quickly.
