About the position

The Faculty Search Coordinator plays a vital role in supporting the academic recruitment activities and events at Harvard Divinity School. This position involves executing administrative logistics related to faculty and academic appointments, particularly the faculty review process, while collaborating with various stakeholders to ensure a smooth and inclusive hiring process.

Responsibilities

  • Serve as the principal administrative contact for the faculty search and review process.
  • Maintain faculty hiring and review systems for candidates.
  • Prepare online dossiers for faculty review.
  • Coordinate access to candidate materials for external evaluators.
  • Plan and execute search and review committee meetings and candidate visits.
  • Arrange travel for faculty search-related visitors.
  • Manage faculty search-related correspondence and documentation.
  • Communicate with junior and senior scholars regarding candidate queries and updates.
  • Create inclusive and diverse publication plans for job advertisements.
  • Monitor applications and supporting documents in the academic applications system.
  • Attend and support the search office at AAR/SBL Conference as needed.
  • Provide support for faculty meetings and assist with planning and preparing materials.
  • Compile reports for faculty meetings regarding scholarly publications and activities.
  • Advise departments on job postings and coordinate the application process for unpaid visitors and affiliates.
  • Act as backup support for the Dean's Office and assist with general office duties.

Requirements

  • Minimum 3-5 years of related administrative experience.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, and Adobe Acrobat.
  • Bachelor's degree preferred.
  • Previous higher education administration experience preferred.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to work with discretion, tact, and professionalism.
  • Demonstrated ability to manage competing priorities and meet deadlines.

Nice-to-haves

  • Familiarity with Harvard's financial and academic application systems.
  • Experience working with faculty at Harvard University.
  • Willingness to learn new technical skills as needed.
