Responsibilities

  • Works closely with Sales and MarCom team members on identification and participation in association and industry events to align with event strategies.
  • Manages the relationship with industry association representatives pertaining to sponsorships, event logistics, and execution.
  • Negotiates sponsorship levels and inclusions within authority to secure the best and most appropriate company brand awareness to achieve marketing objectives.
  • Plans and manages company's presence at industry conferences (branding opportunities, meeting schedules, booths, dinners, cocktail receptions, etc.).
  • Collaborates with Creative Services team on the execution of all branded materials, ensuring timely development to meet event deadlines.
  • Manages relationship with in-house shipping department and outside vendors for event booth scheduling, setup, shipping and storage.
  • Travels to be on-site at identified events to oversee logistics.
  • Works closely with external event agency on the planning and execution of company's annual agent recognition and other high-profile trips (such as the President's Trip).
  • Works closely with company leadership and Sales and MarCom teams on event strategy of hosted events to ensure alignment to overall business objectives.
  • Engages in the creation of memorable and brand-relevant experiences for agents during hosted events (venues, themes, entertainment, etc.).
  • Travels to be on-site for identified events to serve as key EMC liaison with external agency, team members, and agents.
  • Communicates and interacts with EMC agents before, during, and after events to ensure a high level of customer satisfaction with the event experience.
  • Assists in the research and coordination of outside speakers for hosted events.
  • Manages the invitation and post-event feedback processes and platforms, such as Cvent.
  • Understands and interprets business and marketing strategies to effectively build supporting events plans, in close collaboration with Marketing and Sales team members.
  • Develops and effectively communicates a clear event support model that defines support levels for local, industry, and hosted events.
  • Develops a working model for Sales leadership to easily identify and manage low-level local and agent events.
  • Effectively manages event planning and logistics in project management system (Wrike).

Requirements

  • Bachelor's degree, preferably in marketing, event management, hospitality, or equivalent related experience.
  • Eight years' experience in event planning, conference management or related experience.

Nice-to-haves

  • Knowledge of general business environment; knowledge of insurance industry a plus.
  • Exceptional project management and budgeting skills, with the ability to multitask, including managing several diverse situations seamlessly.
  • Exceptional interpersonal and negotiation skills with ability to engage, persuade and negotiate, especially at senior executive levels.
  • Strong audio-visual equipment knowledge.
  • Excellent verbal and written communication skills.
  • High degree of creativity.
  • Exceptional customer service skills (external and internal clients).
  • Excellent computer skills and knowledge of event and project management software and platforms (ie. Cvent).
  • Availability to work after hours occasionally.
  • Occasional travel; a valid driver's license with an acceptable motor vehicle report per company standards required if driving.
