About the position

The Front Office Receptionist for the Physician Office is responsible for greeting patients and visitors in a prompt, courteous, and helpful manner. This role involves entering patient information into the medical billing system, collecting insurance information, and maintaining the appointment book while following office scheduling procedures. The receptionist will also answer telephone calls, screen calls, take messages, and provide information as needed. Additionally, the position requires coordinating lab work, reviewing encounter forms, and maintaining current patient information in the medical record. The receptionist will handle correspondence, maintain a neat work area and lobby, and manage patient payments, including issuing receipts. Financial counseling for patients requiring hospital admission or surgical procedures is also part of the role. The receptionist will reconcile daily cash, post charges and payments, prepare daily bank deposits, and ensure adequate office supply inventory. Assisting in nursing duties and staying current on coding regulations and billing requirements are also essential functions of this position.

Responsibilities

  • Greets patients and visitors in a prompt, courteous and helpful manner

  • Types correspondence as directed and manages mail

  • Receives payments from patients and issues receipts
  • Provides financial counseling to patients requiring hospital admission or surgical procedures
  • Reconciles daily cash and balances cash drawer
  • Posts charges and payments and maintains required records
  • Prepares daily bank deposit
  • Ensures office supply inventory is adequate and orders supplies when needed
  • Timely processes invoices for payment
  • Assists in nursing duties as needed
  • Reads and stays current on coding regulations & billing requirements
  • Participates in professional development activities
  • Maintains strict confidentiality

Requirements

  • High School diploma or equivalent preferred
  • Technical school certification in office occupations is preferred
  • Significant interpersonal skills
  • Ability to read and communicate effectively in English
  • Ability to read and comprehend simple instructions, short correspondence, and memos
  • Skill in establishing and maintaining effective working relationships with patients, medical staff, and the public
  • Ability to work independently and within a team
  • Strong computer skills and ability to work with multiple computer systems
