About the position

Real Chemistry is looking for a Resource Manager to join our dynamic global Resource Management (RM) team. The successful candidate will be an organized, proactive, and detail-oriented individual who thrives in a fast-paced environment. Working alongside senior RM team members, this individual will ensure the puzzle pieces come together to build our teams. This position is responsible for supporting the day-to-day operations and resourcing of the Integrated Communications team. This is a hybrid role, based in any of our US offices-including New York City, Boston, Chicago, Carmel, or San Francisco-or remotely within the US, depending on team and business needs.

Responsibilities

  • Work alongside Senior RM team members to ensure effective team coordination and resource allocation
  • Help project leads maintain employee allocation projections in our Resource Management tool (Workfront), ensuring all details are consistently accurate
  • Manage follow-ups/communications, scheduling relevant meetings, create and send meeting recaps, etc.
  • Review team utilization on a weekly basis, flagging instances of high or low utilization to RM team and coordinate follow ups with managers and team leads as needed
  • Review timesheet reports and aide in managing the team's compliance
  • Prepare reports and presentations for upper management, highlighting key issues and achievements in resource management
  • Coordinate set up of freelance talent in partnership with account leadership, Finance, and Talent Acquisition

Requirements

  • Strong organization skills, comfortable managing multiple priorities at once
  • Experience working within an RM or PM tool
  • Previous experience managing resources for a team of at least 50 people
  • Experience running and analyzing monthly utilization and billability reporting
  • Positive team player that is willing to pitch in whenever needed
  • Curious and pro-active nature; eager to learn
  • Ready for a fast-paced marketing agency environment with exciting clients and meaningful work in the healthcare/pharma/biotech space
  • 3-5 years of Resource Management, Project Management or agency operations experience required
  • Data driven environment or healthcare/pharma industry exposure a plus
  • Undergraduate Degree in business, marketing/communications or related field a plus
  • Intermediate knowledge of Microsoft Excel, Microsoft Word and Outlook
  • Ability and willingness to quickly pivot and respond to pressing and changing demands
  • Strong time management and communication skills; comfortable asking for help to overcome roadblocks and challenges
  • Strong interpersonal skills for working effectively with fellow resource managers, senior leadership, HR, Finance, Talent Acquisition
