About the position

The Sales Support Specialist is a customer-centric role focused on providing exceptional support to clients, distributors, and internal teams. This position involves coordinating order processing, managing sales samples, and facilitating effective communication across various departments to ensure a positive experience for all stakeholders.

Responsibilities

  • Serve as the primary contact for clients, distributors, and internal stakeholders, responding to inquiries promptly to ensure a positive experience.
  • Collaborate closely with sales, production, and logistics teams to streamline operations.
  • Keep clients informed with accurate product information, order updates, and service details.
  • Process customer orders accurately and efficiently using Electronic Data Interchange (EDI) systems.
  • Work with production and logistics teams to track orders, proactively communicating delays and providing solutions as needed.
  • Oversee inventory allocation and customer forecasts to meet order requirements, coordinating with inventory control to ensure accurate stock levels.
  • Address customer concerns related to product quality, shipping, and order discrepancies, ensuring each issue is resolved promptly.
  • Maintain organized and detailed customer records, order histories, and communication logs using EDI systems.
  • Generate reports to monitor trends and suggest areas for improvement.
  • Work with global 3PL partners to ensure smooth communication and alignment on inventory, order fulfillment, and shipping logistics.
  • Handle sample processing, tracking, and quality assurance, collaborating with operations for ETA updates.
  • Communicate sample priorities and maintain organized logs, working cross-functionally to meet deadlines and ensure accuracy.

Requirements

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Prior experience in customer service, ideally within a manufacturing or distribution environment.
  • Familiarity with EDI systems is a plus.
  • Excellent verbal and written communication, problem-solving, and multitasking abilities.
  • Knowledge of CRM software, Microsoft Office, and inventory management tools.
  • Proven ability to work effectively within cross-functional teams.
