The Unit Secretary (US) at Lucile Packard Children's Hospital plays a vital role in supporting the patient care team by providing essential clerical and administrative assistance. This position is responsible for ensuring smooth operations within the nursing unit, facilitating communication among team members, and maintaining a safe and organized environment for patient care. The US contributes to the overall efficiency of the unit by managing patient records, coordinating appointments, and assisting with discharge processes, all while adhering to hospital policies and standards.

Responsibilities

• Provide clerical support to the patient care team under the direction of the Patient Care Manager.
• Perform receptionist duties including greeting individuals and handling incoming and outgoing calls.
• Document patient admissions, discharges, transfers, and off-unit procedures to ensure effective workflow.
• Maintain a clean, orderly, and safe environment in the unit.
• Order and maintain equipment and supplies for the desk area and unit.
• Coordinate lab labels and maintain the blood board through communication with nursing and phlebotomy.
• Assist with discharge processes by organizing documents per unit standards.
• Utilize the computerized electronic health record and follow policy on Computers On Wheels (COW) maintenance.
• Respond to customer and staff needs in a prompt and attentive manner.
• Handle patient call lights and messages appropriately.

Requirements

• High School Diploma or GED equivalent.
• Ability to communicate in a compassionate manner and utilize active listening skills.
• Demonstrated customer service skills in high volume and stressful situations.
• Ability to prioritize tasks effectively.
• Knowledge of office practices, procedures, and equipment; filing and recordkeeping methods.
• Knowledge of medical terminology and hospital routines.
